About the role
We are a fast‑moving education and content brand seeking a proactive Executive Assistant & Operations Coordinator to serve as the strategic right‑hand of the Founder. This remote position requires a high‑energy professional who can turn chaos into structured, executable plans.
Key responsibilities
- Manage complex, multi‑time‑zone calendars, travel, deep‑work blocks and meeting coordination.
- Filter, prioritize and draft responses for the Founder’s inbox, ensuring no follow‑up is missed.
- Attend key meetings, prepare agendas, take detailed notes and hold the team accountable for action items.
- Build and maintain a master project workspace in Notion, converting verbal directives into task lists and tracking deadlines.
- Serve as the primary liaison for partners, vendors and podcast guests, nudging timely delivery.
- Organize Google Drive with professional documentation, templates and SOPs.
- Operate the GoHighLevel CRM: tag leads, update records and monitor automated follow‑up sequences.
- Provide white‑glove support to students and customers, route technical issues, and assist with YouTube content logistics.
Required profile
- Systems thinker who creates structure and SOPs rather than just following instructions.
- Proactive “leader‑up” attitude, comfortable reminding the Founder of deadlines and suggesting improvements.
- Excellent written communication matching the Founder’s voice.
- Ability to thrive in a high‑speed environment with shifting priorities.
