About the role
We are a Houston‑based boutique consulting firm seeking a proactive Executive Assistant to support our partners. This full‑time, remote position will handle calendar management, vendor coordination, and a wide range of administrative tasks to ensure smooth operations for both the firm and its clients.
Key responsibilities
- Manage partners’ calendars, schedule meetings, and coordinate travel itineraries.
- Act as the primary point of contact for partner‑related requests and client inquiries during business hours.
- Maintain and organize files in Dropbox, including permission controls and clean‑up.
- Oversee third‑party IT support, hardware/software purchases, and vendor onboarding workflows.
- Support QuickBooks tasks such as setting up new clients/vendors and assisting with invoice preparation.
- Maintain the firm’s central project planner in Notion and update standard operating procedures.
- Handle email management across multiple inboxes and ensure timely follow‑up.
- Coordinate client gifts, manage mailing lists, and assist with employee policy documentation.
Required profile
- Highly organized with a strong attention to detail.
- Excellent written and verbal communication skills.
- Proactive, able to anticipate needs and act independently.
- Comfortable handling multiple tasks and priorities in a fast‑paced environment.
