About the role

We are a Houston‑based boutique consulting firm seeking a proactive Executive Assistant to support our partners. This full‑time, remote position will handle calendar management, vendor coordination, and a wide range of administrative tasks to ensure smooth operations for both the firm and its clients.

Key responsibilities

  • Manage partners’ calendars, schedule meetings, and coordinate travel itineraries.
  • Act as the primary point of contact for partner‑related requests and client inquiries during business hours.
  • Maintain and organize files in Dropbox, including permission controls and clean‑up.
  • Oversee third‑party IT support, hardware/software purchases, and vendor onboarding workflows.
  • Support QuickBooks tasks such as setting up new clients/vendors and assisting with invoice preparation.
  • Maintain the firm’s central project planner in Notion and update standard operating procedures.
  • Handle email management across multiple inboxes and ensure timely follow‑up.
  • Coordinate client gifts, manage mailing lists, and assist with employee policy documentation.

Required profile

  • Highly organized with a strong attention to detail.
  • Excellent written and verbal communication skills.
  • Proactive, able to anticipate needs and act independently.
  • Comfortable handling multiple tasks and priorities in a fast‑paced environment.
