Executive Assistant – Community & Content Operations

About the role

The client is a fast‑growing women’s media and membership brand that blends digital and print publishing with community building. They need a proactive Executive Assistant who can manage back‑office operations, support the Founder, and keep the community and content pipelines running smoothly.

Key responsibilities

• Manage subscriber inboxes, answer questions about accounts, payments and shipping, and act as the professional voice of the magazine.
• Maintain the Founder’s calendar, schedule meetings, and handle speaking or podcast invitations.
• Welcome new members to the digital community (The Swish Society), guide onboarding, and moderate discussions on Skool.
• Assist with the publishing calendar, process guest contributor pitches, and perform light proofreading or formatting in Wix.
• Research and coordinate sponsorships with aligned brands or bookstores, track outreach and creative assets.
• Organise digital files, spreadsheets and tasks in Google Drive and Canva to ensure nothing falls through the cracks.

Required profile

• Proven experience as a Virtual Assistant, Executive Assistant or Operations Coordinator, preferably in media, publishing or community management.
• Fluent English – the role requires speaking and writing exclusively in English during the entire shift.
• Comfortable working 10‑20 hours per week with the possibility to scale to full‑time.
• Ability to work flexible hours within CST business hours, Monday‑Friday.
