Portfolio Administrator Assistant

About the role

A recruitment consultant representing a client with an 80-year history in the property industry is hiring a Portfolio Administrator Assistant in Cape Town (Gardens). The client manages a diverse portfolio of residential, industrial and commercial properties. The position is office based and permanent.

Key responsibilities

• Handle tenant queries, correspondence and complaints, and coordinate move-in and move-out processes
• Draft, coordinate, load and update lease agreements, renewals, amendments, addenda, warnings and notices on the MRI system
• Maintain accurate records, track tenancy and vacancy schedules, and ensure FICA compliance for all tenants
• Assist with rental escalations, follow-ups on arrears and general collection support
• Support the Portfolio Manager with oversight, filing and updates to the MRI system
• Liaise with external sub-contractors and handle parking tracking and enquiries
• Help with secretarial duties, switchboard cover and preparing refreshments when needed

Required profile

• Exceptional attention to detail and accuracy
• Excellent written and verbal English
• Strong interpersonal skills with tenants, contractors and colleagues
• Proactive, hands-on approach and willingness to support the team
• Ability to work in a structured, deadline-driven environment
• Prior experience in property management administration or familiarity with the MRI system is advantageous

Required skills

• High level of computer literacy and eagerness to adopt new technology
• Familiarity with the MRI system (advantageous)
